AI Receptionist for Gyms and Fitness Studios in India: Answer the Enquiry Before They Join the Other Gym

2026-09-06 · 7 min read

A gym's phone rings at the worst times: 6 am when the floor is full and the trainer is spotting someone, 7 pm when the desk is signing people in, and on the first of the month when everyone wants to renew at once. The person calling is usually ready to join somewhere this week. This is how a receptionist that answers every call fits a gym or studio, and what it should say.

The membership enquiry is a sale on a timer

Someone who calls a gym has already decided to join a gym. They are choosing which one, and they are calling two or three. The first one that answers, quotes the fee plainly, and books a trial session usually wins. A missed call at 7 pm is not a missed message; it is a membership that went to the gym across the road.

The receptionist answers in the caller's language, gives the timings and the plans you have told it to quote, asks what the caller's goal is (weight loss, strength, a class, general fitness), and books a free trial or a walk-in time. The alert with the name, number and goal reaches the manager's WhatsApp before the caller has put the phone down.

What to let it quote, and what to hold back

Gyms differ on whether to quote fees on the phone. Both work. If you quote, tell the receptionist the monthly, quarterly and annual prices and any joining fee, and it will state them and move to booking the trial. If you prefer to quote in person, tell it to say the plans start from a figure and that the manager will explain the options at the trial. What it must never do is invent a discount. If you run an offer, write it down with its end date and the receptionist will stop quoting it on that date.

Classes, timings and the questions that repeat

Zumba at 7, yoga at 6.30, ladies' hours from 11 to 2, closed on the second Sunday. The receptionist answers all of it from your written timetable, and when the timetable changes you change one paragraph. 'Do you have a steam room', 'is there parking', 'do you have a female trainer', 'can I freeze my membership for a month': every question you answer ten times a day, it answers the same way every time, and it tells the caller to ask the manager about anything you did not cover.

Renewals and the first of the month

Existing members call to renew, to ask about a plan change, or to freeze. The receptionist recognises a number that has called before and greets the member by name. It takes the renewal request and sends it to the desk, and if you use a payment link it tells the member one is on its way. The desk gets a WhatsApp list of renewals to process instead of a queue at the counter.

The trainer's phone

Many studios run on the owner-trainer's own mobile. Forward it on busy, no answer and unreachable, and the phone in the pocket during a session stops being a problem. The codes are on the call forwarding guide and take a minute to set. Between sessions the trainer still answers; during them the receptionist does.

What the alert looks like

Name, ten-digit number, goal, preferred timing, and whether a trial was booked. For a studio with classes, the class asked about. The manager taps the number to call back or replies on WhatsApp. Every call also lands as a row in a Google Sheet, which doubles as the enquiry register most gyms keep by hand.

Common questions

Can it book a free trial?

Yes. Tell it the trial slots you offer and it books one, confirms it with the caller, and sends you the booking.

Should it quote fees?

Your choice. Give it the prices and it quotes them; tell it to hold back and it says the manager will explain plans at the trial. It never invents a discount.

Does it handle existing members?

Yes. It recognises returning numbers, greets members by name, and takes renewal, freeze and plan-change requests for the desk.

Can it answer in Marathi or Kannada?

Yes. It answers in the caller's language and switches if they do.

What about calls during a class?

Forward your mobile on busy and no answer, and the receptionist takes the calls you cannot while you are training.
