IVR Number for Business in India: What You Get and What It Costs You
An IVR number is a phone number connected to an automatic menu instead of a phone. Callers hear a greeting and options, and the system sends each call to the right person or plays information. Cloud telephony companies in India sell them to businesses of every size. Here is what you actually get, the costs that are easy to miss, and how to decide if it fits your business.
What an IVR number is
It is usually a virtual number, a mobile-format or landline-format number, or a toll-free 1800 number, hosted by a cloud telephony provider. You record or type the greeting and menu in their dashboard, and map each option to a staff member's phone, a department, or a message. When the call arrives it is routed over the internet to whoever is set up to take it.
How businesses get one
You choose a provider, pick a number, complete KYC (business documents and the authorised person's ID are required by Indian telecom rules), set up the menu and agents, and start publishing the number. Existing numbers can sometimes be kept by forwarding them to the new one.
The costs that matter
- The subscription. A monthly or yearly plan with a number of minutes or agents.
- People. An IVR routes calls; someone still has to answer them. If the desk is busy, the call waits or goes to voicemail.
- Lost callers. Every menu step loses a share of callers who give up. For a business where one booking is worth hundreds or thousands of rupees, a few lost callers a day costs more than the plan.
- A new number. Moving customers to a new number takes months, and old listings keep the old one.
When IVR is the right choice
IVR earns its place when you have several teams, many agents, and callers who want different departments: a hospital with ten specialities, a college admissions office, a distributor with sales and service desks. There, routing saves time for everyone.
When a receptionist line fits better
A single clinic, salon, coaching centre or shop usually has one desk and one question from each caller: can I come in, and when? There, a line that answers the call, speaks the caller's language, takes the details and sends them to you does more than a menu that forwards the call to the same busy desk. It also works on the number you already have, by forwarding missed calls to it. See what IVR is and why callers hang up and our comparison with Indian cloud telephony products.
Common questions
What is an IVR number?
A phone number connected to an automatic menu that greets callers and routes them by key press to the right person or information.
Do I need KYC for an IVR number in India?
Yes. Indian telecom rules require business documents and the authorised signatory's ID before a business number is issued.
Can I keep my existing number with an IVR?
Often yes, by forwarding your existing number to the IVR number, so callers keep dialling the number they know.
Is an IVR number good for a small clinic?
Usually a receptionist that answers and takes details serves a single-desk clinic better than a menu that routes to the same busy desk.
