Never miss a business call again

Missed calls are the biggest leak in a small business, and the hardest to see, because a call that never connected leaves no trace. This page lays out the setup that stops the leak without hiring anyone: your staff answers when free, and every call they cannot take is answered anyway.

Where the calls go missing

During procedures and consultations, when the only phone is in a bag. During lunch. When the receptionist is already on a call and the second caller hears an engaged tone. After 8 pm and on Sundays, when the day's working people finally have time to call. And when the phone is off or out of coverage, which is more common than owners think.

A clinic with a single line typically misses one call in three during the day and all of them after hours. Each is a patient who wanted to give the clinic money and, hearing no answer, called the next one on the list.

The setup that closes every gap

Forward on three conditions: busy, no answer after ten to fifteen seconds, and unreachable. Your staff still answers first. Only the calls they cannot take are passed to the receptionist, which answers in the caller's language, takes the details or books the slot, and sends the owner a WhatsApp message. After hours, forward everything.

The codes for each condition are on the call forwarding guide for Jio, Airtel, Vi, BSNL and landlines. It takes five minutes per phone and can be switched off with one code.

What 'answered' has to mean

Answering a call is not the same as picking it up. The caller needs to be understood in their own language, asked the right questions, given a time, and told who will call back. Otherwise they still call the next clinic. That is why the receptionist confirms the number back, repeats the time, and closes every call with a clear next step.

How you know it is working

Every call, answered by your staff or by the receptionist, shows in your dashboard with a transcript and a summary. The WhatsApp alerts arrive as the calls happen. Within a week the owner can see how many calls used to ring out, because they are now in the list.

Handled properly, by the book

Callers are told the line is automated and that the call may be recorded to handle their request. Personal data is handled under India's DPDP Act 2023. Any outbound call is a service or appointment update to your own patients and customers, never marketing and never spam.

Questions people ask

Do I lose control of my phone?

No. Your staff answers first. Forwarding only takes effect when they cannot, and you switch it off with one code.

Will it work when my mobile is switched off?

Yes. Forwarding is done by the network, so an unreachable or switched-off phone still has its calls answered.

What about calls my staff answers?

They stay exactly as they are. If you use the ring-first workflow, you also get a WhatsApp summary of what your team handled.

How many minutes will I use?

Most clinics use two to four minutes per call the receptionist handles. Plans include a bundle, and the usage shows in your dashboard so you can pick the right one.

Can I try it before forwarding my number?

Yes. Call your receptionist number directly and speak to it. Forward your line only when you are happy with what you hear.
