How it works, step by step

Going live takes one afternoon and no hardware. You keep your number and your staff. Here is exactly what happens, in order, and what you need to have ready.

1. Sign up and describe your business

You create an account and write, in plain words, what the receptionist should know: your name and address, timings, the doctors or staff and when each is available, the services and what to ask about each, and anything callers regularly ask. A dental clinic might add 'ask which doctor, ask if it is a new patient, do not quote prices for implants'. The receptionist follows these instructions on every call.

2. Complete the paperwork for an Indian number

An Indian business number needs the standard know-your-customer documents: your business registration or GST, an identity proof, and an address proof. You upload them in the dashboard. Once they are approved you get a local number for the receptionist. This is a regulatory step every provider in India has to complete, and it usually takes a day or two.

3. Call it and listen

Call the receptionist number from your own phone and have the conversation a patient would. Ask for an appointment, ask if you are open, try Marathi or Tamil, try switching to English mid-sentence. Read the transcript afterwards. Adjust the instructions if something should be said differently. Most businesses go through two or three rounds in the first hour.

4. Forward your number

Using the codes on the call forwarding guide, forward your mobile or landline on the conditions you want. The common setup is busy, no answer after ten seconds, and unreachable, so your staff still answers first. Some businesses forward everything after hours. It takes a minute per phone.

5. Get the leads on WhatsApp

You do. They are stored against your account, visible only to you, and handled under India's DPDP Act. You choose how long recordings are kept.

What if I want the receptionist to speak only during certain hours?

Set the forwarding conditions to match. For example, forward only on busy and no answer during the day, and forward everything after closing time.
