AI Receptionist for Car and Bike Service Centres in India: Book the Service Slot on the First Call
A service centre's phone is answered by whoever is nearest the desk, which at 10 am on a Monday is nobody, because the advisors are walking the bays with customers. The calls are service bookings, 'is my car ready', pickup requests, and the occasional breakdown. Here is how a receptionist that answers every call, in the caller's language, fits a workshop, and what it should and should not say.
The Monday morning problem
Service bookings cluster. Weekend driving turns into Monday calls, and the first hour of the day is when every advisor is busy with drop-offs. A caller who cannot get through books the authorised centre two kilometres away, or worse, puts the service off. The receptionist takes the booking: the vehicle make and model, the registration number, roughly the kilometres or the last service, what the customer has noticed, and a preferred day. It offers a slot from the ones you allow and confirms it. The advisor arrives to a WhatsApp list of the day's bookings instead of a ringing phone.
'Is my car ready'
The most repeated call in a workshop. The receptionist cannot see your job board, and it should not pretend to. What it does is take the registration number and the caller's name, tell them the advisor will confirm on WhatsApp within a stated time, and send the advisor the query. If you connect a Google Sheet where the desk updates job status, the receptionist can read the status from it and answer directly. Either way the caller gets an answer and the advisor is not interrupted mid-inspection.
Pickup and drop, and what to quote
Tell the receptionist whether you offer pickup and drop, in which areas, and whether it costs extra, and it will offer it and take the address. On prices, decide once: quote the standard service prices for the models you serve, or say that the advisor will quote after inspection. The receptionist follows that rule and never guesses a figure. Offers and seasonal camps are written down with their dates so they are quoted only while they run.
Breakdowns and urgent calls
A caller stranded on the highway does not want a slot next Tuesday. Tell the receptionist what to do with breakdowns: give the roadside assistance number, connect to the workshop manager during hours, or take the location and promise a callback within ten minutes. Urgent calls are flagged at the top of the WhatsApp alert so they are seen first.
Two-wheeler workshops
Bike and scooter service centres get more calls per rupee of work and have fewer people to answer them. The same setup applies: forward the shop mobile on busy and no answer, let the receptionist take the booking with the model and registration, and quote or not quote by your rule. The volume is higher and the calls shorter, so a plan with more minutes is usually the right fit.
What the advisor receives
A WhatsApp message per call: name, ten-digit number, vehicle, registration, what the customer described, the slot booked, pickup requested or not. Calls the advisor answered themselves get a short summary too. Everything also lands in a Google Sheet, which becomes the day's booking register and the basis for the reminder call the day before, which the receptionist can make to your own customers if you switch that on.
