After-Hours Calls: What Happens to the 8 pm Enquiry, and How to Keep It

Between 8 pm and 10 am the shutter is down, the desk is empty, and the phone on the wall rings into a room with nobody in it. Or it is a mobile, and it rings on a bedside table, and gets rejected. Either way the caller was a working person who could not call during the day, which is to say a customer with money and no time. This is what happens to that call now, and how to keep it.

Who calls after hours

The person who could not call from the office. The parent who got home and remembered the child's toothache. The couple who decided at dinner to finally book the check-up. The traveller landing late who needs a clinic tomorrow. The one thing they have in common is that they are calling because now is when they can, and they are not going to leave a voicemail. If they hear ringing, they try another number. If they hear a recorded message, they hang up.

The three things that happen to the call today

It rings out, and you never know it happened. It goes to a mobile that is rejected because it is 9.30 pm, and you never know who it was. Or it goes to a mobile that is answered by a tired person who says 'call tomorrow', and the caller does not. None of the three leaves a record, which is why owners underestimate the volume; the only after-hours calls you remember are the ones you answered.

The setup

Forward the business number to a receptionist that answers every call, every hour, in the caller's language. During the day, forward on busy, no answer and unreachable so the desk still answers first. At closing time, either leave the same conditions in place (a landline nobody is near will simply not be answered, and the receptionist takes it) or forward all calls with one code. The receptionist gives the timings, books a slot for tomorrow from the ones you allow, or takes the details and promises a callback. By the time the desk opens, the WhatsApp thread and the Google Sheet already hold the night's enquiries, with names and ten-digit numbers.

What it should say at night

Not 'we are closed'. A receptionist that opens with the hours and then asks how it can help turns a closed clinic into one that is open for booking. Tell it the first available slots tomorrow, what to say about emergencies (the number to call, the nearest 24-hour hospital), and which questions to answer and which to leave for the doctor. The caller who wanted an appointment gets one; the caller with an emergency gets the right number in ten seconds; the caller with a question gets it answered or promised.

The morning

The desk arrives to a list, not a mystery. Each night-time call is a WhatsApp message with the name, the number to tap, the reason and the slot booked, and the returning callers are flagged as such. The Sheet shows the pattern over a month: how many calls come after 8 pm, on which days, about what. Most clinics discover that after-hours calls are a fifth to a third of all enquiries, and that they had been paying to generate them and then losing them.

Weekends and holidays

Sundays and festival days are after-hours days. The same setup covers them with no rota; the receptionist does not know it is Diwali unless you tell it, and if you tell it, it will say when you reopen and book from that day. A one-line note in the instructions the day before a holiday is all it takes.

Can the receptionist book appointments at night?

Yes, into the slots you allow for the next day or later. Or it can take the request and let the desk confirm in the morning.

What about emergencies after hours?

Tell it what to say: an emergency number, the nearest 24-hour hospital, or a doctor's number to connect to. It gives that first, before anything else.

Do I have to change forwarding every evening?

No. Busy, no answer and unreachable forwarding covers the night too, because nobody answers the desk phone. Forward all calls only if you want the receptionist to answer instantly rather than after a few rings.

Will I be woken by alerts?

Does it cost more at night?
