AI Receptionist for Interior Designers and Architects in India: Catch the Project Call From the Site
An interior designer spends the day on site, in a showroom, or in a client meeting where the phone is on silent. The calls that come in during those hours are new projects: a couple who just took possession of a flat, a restaurant fitting out, a builder looking for a design partner. Each one is worth lakhs, and each one calls the next studio when yours does not answer. Here is how a receptionist that always picks up fits a design practice.
Why the design enquiry is different
A clinic call wants an appointment. A design enquiry wants to be listened to. The caller has a flat, a budget in mind, a Pinterest board, and a date they want to move in by. They are choosing a studio partly on how the first conversation feels. A receptionist that hurries them will lose them; one that asks the right questions in the right order will book the meeting.
The questions are the ones you would ask: what kind of space, roughly how big, is it new or a renovation, when do they want to start, and have they set a budget range. The receptionist asks them in the caller's language, does not push for a number the caller is not ready to give, and books a site visit or a studio meeting at a time you allow.
Qualifying without being rude
Every studio has projects it does not take: a single-room job when it does whole homes, a commercial fit-out when it does residential, a site in a city it does not serve. Tell the receptionist what you do and do not take, and how to say no gracefully, and it will thank the caller and suggest they look for a local designer rather than booking a meeting you will cancel. The projects you do want are flagged by size or type so the WhatsApp alert shows the 3BHK renovation above the single-wardrobe query.
The vendor and site calls
Half a designer's calls are not clients at all: the carpenter asking about a measurement, the tile supplier confirming a delivery, the site supervisor with a question. The receptionist takes those as messages with the name and the question, so the designer sees 'Ramesh from the Kothrud site, asking about the false-ceiling height' and can answer in one WhatsApp reply between meetings. Callers who need the designer urgently during working hours are connected if the designer is free; otherwise the message is taken.
The first meeting
Tell the receptionist which days and hours you meet new clients, whether the first meeting is at the studio or on site, and whether there is a consultation fee. It books the slot, confirms the address or asks for the site address, and tells the caller what to bring (the floor plan, photographs). The alert includes all of it, and a Google Sheet row keeps a record of every enquiry with its source, which is how a studio learns which ads and referrals actually ring the phone.
Portfolio questions
'Have you done a restaurant before', 'can I see your work', 'do you do modular kitchens' are answered from what you tell it, and it can send the caller a link to your portfolio on WhatsApp if you provide one. It does not quote a per-square-foot rate unless you have written one down, and it says the designer will discuss cost at the first meeting if you prefer that.
Common questions
Can it tell a serious enquiry from a small one?
Yes. It asks about the space, size and timing, and flags the enquiries that match what you have said you want, so the alert shows the larger projects first.
Does it take messages from vendors and site staff?
Yes. Non-client calls become short messages with the name and question, so the designer can reply from WhatsApp between meetings.
Can it book a site visit?
Yes, in the days and hours you allow, and it asks for the site address.
Will it quote my rates?
Only if you write them down. Otherwise it says cost will be discussed at the first meeting.
What if I am free and want to take the call?
Use the ring-first setup: your phone rings for ten to fifteen seconds and the receptionist answers only if you do not.
